This Privacy Policy explains how MemberCrest (“we”, “us”, or “our”) collects, uses, and shares information when organizations and individuals use the MemberCrest platform and related websites.
1. Information we collect
We may collect:
- Account and profile details such as name, email address, and organization information
- Member roster data uploaded or entered by club administrators
- Billing and subscription metadata related to your MemberCrest plan
- Usage logs, device information, and diagnostics needed to operate and secure the Service
- Payment-related information processed by Stripe when dues or tickets are collected
- Notes and other content you submit to optional AI drafting tools (for example Event Assist or Post Assist)
- Public website content we fetch when you start a website import, such as page text, headings, and image URLs
2. Stripe payment handling
Payment card data for membership dues, event tickets, and platform subscriptions is handled by Stripe. MemberCrest does not store full payment card numbers on its servers. Stripe may receive billing details, transaction amounts, and identifiers needed to process charges and Connect payouts. Stripe’s privacy policy governs its processing of payment data.
When a club connects a Stripe account, payout and account status information may be synced to MemberCrest so administrators can confirm that dues collection is ready.
3. AI features
MemberCrest offers optional AI tools, including AI Event Assist, AI Post Assist, and website import mapping. These features send the text and related content you provide (or that we extract from a public URL you ask us to import) to OpenAI so a draft page or mapping can be generated. You can create events, posts, and pages without using these tools.
We do not send your member roster, account passwords, or Stripe payment data to OpenAI as part of these features. If you include names, contact details, or other personal information in AI notes or on an imported website, that information may be processed by OpenAI. Do not submit information you are not authorized to share.
Each of these features is a one-time API request. MemberCrest does not keep an OpenAI conversation, and we do not use those requests to train a MemberCrest model. OpenAI processes this content as our service provider and may retain API logs for a limited period under its own policy, typically for abuse monitoring. OpenAI’s privacy policy governs its handling of API requests. Skipping AI tools, starting over, or deleting a draft in MemberCrest changes what is saved in your workspace; it does not delete the original request from OpenAI.
We do not sell this content. AI drafts can be inaccurate; you are responsible for reviewing and editing them before publishing.
4. How we use information
We use information to:
- Provide, maintain, and improve the Service
- Process subscriptions and facilitate member/event payments through Stripe
- Generate draft event pages, posts, and website-import mappings when you use those features
- Send transactional messages such as invitations, receipts, and billing notices
- Protect against abuse, fraud, and security incidents
- Comply with legal obligations
5. Sharing
We share information with service providers that help us operate MemberCrest (for example hosting, email delivery, Stripe, and OpenAI for optional AI drafting features). We do not sell personal information. Club administrators control member data within their workspace and may export or delete records according to product features and applicable law.
6. Data retention
We retain account and workspace data for as long as your organization maintains an active MemberCrest account and for a reasonable period afterward to support backups, dispute resolution, fraud prevention, and legal compliance. Payment records and invoices may be retained longer where required for tax, accounting, or financial regulations.
When an organization closes its workspace, we delete or anonymize Customer Data within a commercially reasonable timeframe, except where retention is required by law or necessary for legitimate business interests such as security logs. Stripe may independently retain transaction records according to its own retention policies. Content sent to OpenAI for AI features may be retained by OpenAI according to its API and privacy policies. MemberCrest keeps the resulting drafts as part of your workspace content.
7. Security
We use administrative, technical, and organizational measures designed to protect information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Your choices
Organization admins can update workspace settings and member records in-product. Individuals may contact their club administrators or MemberCrest support to request access, correction, or deletion where applicable under local privacy laws.
You can avoid AI processing by using templates instead of AI Assist, and by not starting a website import. If you use AI tools, omit personal or confidential information you do not want sent to our AI provider.
